Business phone systems for UK hotels.Reception, rooms, conference — all unified.
Hotel phone systems need to do more than office phones. Reception lines, room phones, room-to-room dialling, conference room phones, restaurant phones, group bookings, PMS integration for room-charge calls. Our hotel phone systems handle it all on one cloud platform, with AI receptionist for 24/7 cover.
What running the phones in hotels is really like
Reservations lost to busy lines
A guest who can't get through books a competitor instead.
Front desk overloaded
Check-in rushes collide with reservation and guest-service calls.
Many departments, one image
Restaurant, spa, events and front desk must feel like one slick operation.
Phone features that earn their keep
Reservation routing
Booking calls are answered or queued so none are lost.
Department routing
Front desk, restaurant, spa and events each reached cleanly.
24/7 coverage
The property is reachable around the clock.
Scale for the season
Add lines for peak periods, remove them after.
A day on the phones
A check-in queue is building when three reservation calls and a wedding enquiry come in. Reservations are answered or briefly queued, the events enquiry routes to the sales team, and internal front-desk calls stay separate. No booking lost, no guest left on hold too long.
Handled properly
Where card payments or deposits are taken by phone, we configure DTMF masking and pause-and-resume so card data isn't recorded, supporting PCI DSS compliance.
From £5 per user, per month.
No PBX hardware to buy and no big upfront cost — cloud phone systems that scale with your team. And because it’s all cloud-delivered, we can have you set up and live within 60 minutes.
What we hear every week.
The frustrations behind why businesses search for business phone systems for hotels in the first place. If any of these feel familiar, the fix is straightforward.
"Reception desk drops calls at check-in peak."
Check-in queue building, phone rings, voicemail picks up. Direct booking lost to Booking.com. Margin haemorrhage every Friday afternoon.
"Room phones are useless and ancient."
1990s analogue handsets with broken displays. Guests can't dial out. Room-to-room doesn't work. Wake-up calls fail. Reflects badly on the whole hotel.
"Conference rooms need phones."
Corporate guests expect a working phone for conference calls. Without it, they make do with personal mobiles on speaker — and remember the hotel didn't have basic facilities.
"Legacy PBX costs are insane."
Per-extension charges, line rental, maintenance contract, room-phone replacement costs. Some hotels spend more on phones than on housekeeping. Old infrastructure punishing the bottom line.
How cloud phones work for a hotel.
Replace legacy hotel PBX with cloud-based phone system. Reception desk gets multi-line softphone with PMS integration (caller's room appears on screen). Room phones go cloud-based or replaced with modern IP handsets. Conference rooms get dedicated lines. Restaurant/bar/leisure get their own extensions. AI receptionist handles overflow and after-hours. All on one platform, one bill, one supplier.
The Telexico approach to business phone systems for hotels.
Six things our customers consistently tell us matter.
PMS integration
Opera, Mews, Cloudbeds, Little Hotelier, RoomRaccoon, StayNTouch — calls pop up the guest record. Room charges post automatically for chargeable calls.
Reception softphone + AI overflow
Reception desk takes calls when free; AI overflow handles peak times and after-hours. Direct bookings never lost to OTAs because of voicemail.
Modern room phones
Replace ancient handsets with modern IP phones. Wake-up calls work. Room-to-room dialling works. Guest can request housekeeping with one button.
Conference room phones
Dedicated lines with conferencing capability. Corporate guests bring their own equipment or use the hotel's. Reflects well on facilities.
Multilingual routing
AI receptionist handles multilingual enquiries — French, German, Spanish, Italian, Polish, Mandarin available. Important for tourist and business hotels.
Replaces legacy PBX cost
One platform replaces PBX hardware, line rental, maintenance contract, per-extension charges. Adding/removing extensions is a configuration change, not a callout.
Built around hotel operations.
Hotels are operationally complex — reception, rooms, conference, restaurant, bar, leisure, housekeeping, management. Each has different phone needs. We design specifically for that complexity — boutique B&B to 200-room business hotel, configured to how YOUR hotel runs.
How it works for businesses like yours.
Three real-world setups we deliver across the UK.
30-room boutique hotel

100-room business hotel
Multi-reception, conference room phones, restaurant + bar + leisure extensions, PMS integration, multilingual AI receptionist. Centralised management for the GM.
Wedding venue / events hotel

Frequently asked questions
Can I keep our hotel main number?
Yes — we port your existing main number(s) across. Guests calling for reservations or guests at home calling out reach the same number. Porting takes 5-10 working days with no service disruption.
Will it integrate with our PMS?
Opera, Mews, Cloudbeds, Little Hotelier, RoomRaccoon, StayNTouch and most other UK hotel PMS platforms. Caller's guest record pops up on reception screen when they ring. Chargeable room calls post automatically to the PMS.
What about room phones — do they all need replacing?
Depends on what you have. Modern IP handsets (Yealink, Polycom, Snom hotel models) integrate cleanly. Some legacy analogue handsets can be retained via ATA gateways for a transition period. We assess during the survey.
How does AI receptionist fit in?
Handles overflow during peak reception times (4-7pm check-in rush is common), full overnight cover, and direct booking capture for guests who'd otherwise go to OTAs. Same phone platform — no separate system to manage.
What about conference room phones?
Dedicated extensions in each conference room with conferencing/speakerphone capability. Modern IP handsets with quality audio. Important for corporate guest experience and event hosting.
How much does it cost compared to our current PBX?
Most hotels we migrate save significantly on monthly phone costs while getting more features and reliability. Hardware costs are lower (modern IP handsets vs proprietary PBX handsets). Adding/removing extensions costs nothing. Tailored quote based on your specific setup.
How long does migration take?
Most hotel migrations take 14-21 days end-to-end. Phased install minimises guest disruption. Reception phones first, then room phones rolled out floor by floor. Number porting in parallel. Old system stays live until new system is proven.
Can we stop losing reservations to engaged lines?
Yes — multiple calls are handled at once and queued with a message, so booking calls aren't lost.
Can different departments have their own routing?
Yes — front desk, restaurant, spa and events are each reached through clean routing.
Can we scale lines for peak season?
Yes — add users for busy periods and remove them afterwards, with no hardware changes.
Is taking card deposits by phone secure?
With DTMF masking and pause-resume, card details aren't recorded, supporting PCI DSS.
Can it cover the property 24/7?
Yes — routing and out-of-hours options keep the hotel reachable around the clock.
Will we keep our hotel's number?
Yes — we port your existing number so listings and bookings are unaffected.
